Nominating Committee
Term:
- Three-year, staggered term with no more than two consecutive terms. Three is the minimum number of members.
Clerk's Responsibilities:
- Understand and be able to implement Quaker process.
- Serve as primary contact person for committee.
- Schedule meetings and ensure that meetings take place.
- Ensure that an agenda for committee meetings is organized.
- Ensure a report is generated to be presented to the Meeting for Business.
- Ensure that committee meeting minutes and notes, which may include background discussions, concerns, planning, proposals, actions and possibly confidential material, be written and kept as an organized file.
- Ensure that action items that arise during committee meetings are assigned.
- Arrange for the new committee’s first meeting and at that meeting ensure that the committee chooses its clerk, unless the clerk has been specified by the Nominating Committee.
Committee's Responsibilities:
- Enlist participation of members and attenders in the committee-based life of the Meeting.
- Inform members and attenders of current office holders and committee members.
- Provide descriptions of the jobs to be filled, including length of term.
- Ascertain interest of members and attenders for all Meeting offices and committee memberships.
- Present nominations of officers and committee members to eleventh month Meeting for Worship for Business for approval at twelfth month Meeting for Business.
- Have knowledge of qualifications and interest of members and attenders.
- Serve as a standing committee throughout the year to nominate persons for vacancies as they may occur.
- Periodically announce where committee memberships are posted and provide information about the committees and offices to new attenders and others.
- Ensure that new committee clerks understand the responsibilities of their positions and understand they must schedule their first committee meetings.
- Make regular, written reports to the Meeting for Worship for Business as needed.
- Ensure a smooth transition and transfer of information to new committee members.
